Modern Excel workbooks use Office Open XML (OOXML) formats introduced in Excel 2007: XLSX (standard workbooks), XLSM (macro-enabled), XLTX (templates), and XLTM (macro-enabled templates). These formats store spreadsheet data as compressed XML files inside a ZIP container, enabling formulas, pivot tables, charts, conditional formatting, and better data recovery than legacy binary formats.

Excel is the industry standard for spreadsheet work, compatible with Google Sheets, LibreOffice Calc, and data analysis tools. For sharing, archiving, or cross-platform viewing, converting to PDF preserves your formatting and layout. Legacy binary .xls files (1997-2003) are supported directly; for complex workbooks with advanced features, re-saving as XLSX may improve fidelity.

PDF (Portable Document Format) is Adobe's universal document standard, designed to present text, images, and layout consistently across any device or platform. First released in 1993 and later standardized as ISO 32000, PDF supports vector graphics, embedded fonts, forms, annotations, and encryption. It has become the de facto format for document exchange, digital publishing, and archival—billions of PDFs are created daily worldwide.

PDF excels at preserving document fidelity and works universally—every operating system and browser includes native PDF support. For long-term archival or regulatory compliance, PDF/A is the appropriate variant.

Frequently Asked Questions

Which Excel formats are supported?

We support modern and legacy Excel formats: .xlsx, .xls, .xlsm, .xltx, and .xltm.

Macro-enabled files (XLSM/XLTM) are converted with macros disabled in the PDF output.

Legacy binary .xls files are supported; .xlsb should be re-saved as XLSX in Excel for best fidelity.

Should I use PDF or PDF/A?

Use this PDF converter for everyday sharing: spreadsheets you email, print, or protect with passwords; smaller file sizes and fast delivery.

Use PDF/A for archival/compliance: legal, government, medical, or records that must remain readable for decades. PDF/A embeds fonts/color profiles and forbids encryption. Switch to our XLSX to PDF/A converter for ISO 19005-2 compliance.

What happens to formulas, charts, and macros?

Formulas: Calculated to static values (what you see in Excel is what renders in PDF).

Charts & sparklines: Rendered as high-quality images for accurate visuals.

Macros (VBA): Stripped for safety—PDF does not execute macros.

External links/data connections: Not refreshed; convert the workbook with data already loaded.

What happens to images, fonts, and sheet notes?

Images: Exported at high quality (≈90% JPEG) to balance fidelity and size; vectors are rasterized for consistency.

Fonts: Fully embedded so your workbook looks identical on any device—even without your custom fonts installed.

Hidden sheets/rows: Hidden content stays hidden by default; toggle visibility in Excel if you need it printed.

How are multiple sheets handled?

All visible sheets in your workbook are included in the PDF, in their tab order. Each sheet starts on a new page.

  • Hidden sheets: Excluded from the PDF (unhide them in Excel if needed)
  • Sheet names: Can appear as page headers if your Page Setup includes them
  • Wide sheets: May span multiple pages based on your print area and scaling settings

Tip: Set your print area in Excel before uploading for precise control over what appears in each sheet's PDF pages.

What happens to page breaks and print areas?

Excel's page layout settings are respected during conversion:

  • Print Area: Only the defined print area is converted (if set)
  • Page Breaks: Manual page breaks are preserved
  • Fit to Page: Scaling settings (fit to X pages wide by Y tall) are applied
  • Headers/Footers: Included if configured in Page Setup

For best results, preview your workbook in Print Preview (Ctrl+P) before uploading to ensure the layout matches your expectations.

Do you support password-protected Excel files?

No. Encrypted workbooks cannot be opened by the converter. Remove protection in Excel before uploading.

Excel steps: File → Info → Protect Workbook → Encrypt with Password → clear the password → Save.

What are the limits for this converter?

TierMax File SizeMax Files/BatchParallel Processing
Guest/Free50 MB50 files3 at once
Pro1024 MB1000 files6 at once

Note: File size limits are specific to this converter. Batch and parallel processing limits apply to all documents converters site-wide. See all converter limits →

How are credits calculated for this conversion?

Cost: 1 credit per 5 MB

How it works:

  • Files up to 5 MB: 1 credit
  • 6-10 MB: 2 credits
  • 11-15 MB: 3 credits
  • 16-20 MB: 4 credits

Example: A 5 MB spreadsheet = 1 credit. A 95 MB spreadsheet = 19 credits.

Why per-megabyte? Larger files require more resources (processing, bandwidth, storage).

What are my daily and monthly credit limits?

Credit allocations vary by account tier:

TierDaily LimitMonthly Limit
Guest100 credits/day
Free100 credits/day
Pro12,000 credits/month

Daily credits (Guest & Free tiers) reset every day at midnight UTC. Monthly credits (Pro) reset on your billing cycle date.

Note: With 1 credit per 5 MB, a typical document costs 1 credit. Pro users can convert 12000 documents per month.
